Position Summary:
The Office Administrator supports the daily operations of the Chamber of Flowood by providing administrative, clerical, and organizational assistance. This position plays a key role in maintaining office efficiency, supporting member services, assisting with event coordination, and ensuring smooth internal operations.Key Responsibilities:
Administrative Support
- Greet and assist members, visitors, and callers in a professional manner
- Answer phones, respond to emails, and manage general inquiries
- Maintain organized filing systems (digital and paper)
- Schedule meetings, prepare agendas, and take meeting minutes
Office Management
- Monitor office supplies
- Handle mail, deliveries, and office correspondence
- Ensure office cleanliness and organization
- Maintain calendars for staff and community events
Membership & Communication
- Assist with membership renewals, invoicing, and database updates
- Send member communications (emails, newsletters, event reminders)
- Help update the Chamber’s website and social media pages
Event & Program Support
- Assist with planning and logistics for Chamber events (luncheons, ribbon cuttings, networking events)
- Track RSVPs, registrations, and payments
- Support setup, teardown, and on-site coordination as needed
Financial Support (as applicable)
- Process invoices, deposits, and simple bookkeeping tasks
- Work with Executive Director on budget tracking
Qualifications:
- High school diploma or equivalent
- Administrative or office experience
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with QuickBooks, Canva, Constant Contact, or CRM systems a plus
- Strong organizational, communication, and interpersonal skills
- Ability to handle multiple tasks and work independently
